Legal Secretary

Due to continued growth, a highly respected and well-regarded local law firm in Newcastle is seeking two Legal Secretaries to join their dynamic team. Supporting a diverse mix of Contested Estates, Litigation, and Criminal law, you will play a key role in providing high-quality administrative and procedural support.

Key Responsibilities:
- Client & Stakeholder Liaison: Act as the professional first point of contact for clients; liaise confidently with court registry staff, judges' associates, counsel, process servers, and witnesses.
- Technical Documentation: Prepare and amend Local and Supreme Court documents, letters, file notes, pleadings, and briefs to Counsel under solicitor supervision.
- File & Practice Management: Handle end-to-end file management using LEAP (opening, closing, archiving), transcribing dictation, and managing busy solicitor diaries.
- Financial & Admin Support: Assist with client invoicing, processing payments, following up overdue accounts, and providing occasional reception overflow relief.
Skills & Experience Required:
- Industry Experience: Proven experience as a Legal Secretary, or strong administrative experience within professional services with highly transferable skills.
- Technical Proficiency: Strong hands-on experience using Microsoft Office Suite. Prior experience with LEAP legal software is highly regarded.
- Legal Knowledge: A solid understanding of court procedures (Local and Supreme Courts) and safe custody preparation is advantageous.
- Core Attributes: An eagle eye for detail, exceptional time management, complete discretion with confidential information, and the ability to work at pace.
- Qualifications: Higher School Certificate (HSC) required; a Certificate III or IV in Business Administration (Legal) is desirable.
- Work Rights: Must have full, unrestricted working rights in Australia.
